Trade-show meetings with soft-goods suppliers tend to drift towards price and minimums. Those answers are of little use at a booth: they depend on a brief the supplier has not yet seen, and a figure given across a table is rarely the figure that reaches a purchase order.
The more useful meeting tests how the supplier works. The questions below are grouped in the order a pouch is made, and each asks for evidence you can take away. They apply to any supplier you meet; our earlier note on ROOTSMEN at Cosmoprof Asia 2026 covers what to bring to our own stand.
Cosmoprof or Cosmopack: where pouch suppliers sit#
The organiser describes two events. Cosmopack Asia, at AsiaWorld-Expo from 10 to 12 November 2026, covers the supply chain — packaging, private label, contract manufacturing and machinery. Cosmoprof Asia, at the Hong Kong Convention and Exhibition Centre from 11 to 13 November 2026, covers finished products, including nail and accessories.
Pouch and bag makers may exhibit in either, so check the exhibitor list for each before planning the days. The organiser expects more than 2,900 exhibitors and over 78,000 visitors across the 29th edition, which makes pre-booked meetings worth the effort.
Prepare one page before you travel: the product type, the contents it must hold, target markets, any recycled or material message, and one or two reference pouches. Suppliers can answer the questions below far more precisely against a real brief than against a general enquiry, and the same page becomes the basis for written quotations afterwards.
Questions about the factory itself#
Start with who actually makes the pouch.
- Is this your own factory, a group factory or a trading company? Where is the pouch cut and sewn?
- Which social and quality audits cover that site, and when was the last one? Can you share the audit reference?
- Do you subcontract any process — printing, embroidery, coating — and to whom?
- Which markets do you currently ship to, and which market requirements do you already work to?
An audit name on a banner is not evidence; a current report or certificate for the named site is.
Questions about materials and recycled claims#
If the programme carries a recycled message, the material conversation decides whether the claim can be printed.
- Which mills supply your recycled fabric, and do they hold a GRS or RCS scope certificate?
- Will transaction certificates be issued for our shipments?
- Are your certified suppliers ready for GRS 5.0 and RCS 3.0, which become mandatory on 31 December 2026?
- Is dope-dyed fabric declared as dyed fibre, as Textile Exchange's Calibration 300 requires from 1 December 2026?
See our note on (/insights/how-to-verify-a-recycled-material-claim-before-you-print-it-on-a-hangtag) for how to read the documents afterwards.
Questions about chemistry and EU rules#
For pouches sold in Europe, two dates in late 2026 are worth raising. From 27 September 2026, Directive (EU) 2024/825 prohibits generic environmental claims unless recognised excellent environmental performance can be demonstrated. From 10 October 2026, REACH Annex XVII entry 79 restricts PFHxA in textiles in clothing and related accessories, such as handbags, measured per homogeneous material; other consumer textiles follow from 10 October 2027.
- Which water-repellent or stain-resistant finishes do you use, and are they PFAS-free?
- Can you provide test reports per material — shell, lining, zipper tape — from an accredited laboratory?
- Which documents do you supply for EU and US shipments?
Our note on compliance documents for the US and EU lists what a typical file contains.
Questions about construction and components#
Ask to handle built pouches, not only to view a catalogue, and turn them inside out.
- Which zipper brands and classes do you use as standard, and what strength tests do you run on them?
- How do you finish internal seams — bound, overlocked or turned?
- How do you decide between a flat, boxed-corner or gusseted construction for a given set of contents?
The inside of a sample shows more about a factory than the outside. See what to check when your first samples arrive.
Questions about development and sampling#
- What do you need from us to start a sample — a tech pack, a reference bag, a sketch?
- Who makes the pattern, and who owns it once the programme is ordered?
- How many sample rounds do you normally plan before a PPS, and what triggers an extra round?
- How do you handle colour approval on a custom shade?
Pattern ownership and design protection are worth settling early; see protecting your design when working with a factory.
Questions about inspection and shipping documents#
- Do you inspect to an AQL plan under ISO 2859-1, and how are critical, major and minor defects defined?
- Who carries out final inspection — your QC team, a third party, or both?
- How are pouches packed for shipment, and can individual polybags be reduced or removed?
Packaging questions matter more in Europe now that Regulation (EU) 2025/40 has applied since 12 August 2026. Our note on setting an AQL inspection plan covers the inspection side.
Questions on quantity, timing and cost — without expecting a booth answer#
These belong in the conversation, but the useful answer is an explanation, not a figure.
- Which inputs usually set your minimum on a pouch like ours — fabric, zipper, trims or decoration?
- Which decisions on our side would change the schedule most?
- Will you quote in writing against our brief, with the delivery term stated as an Incoterms 2020 rule?
A supplier who explains how the figures are built gives you more to compare than one who gives a number on the spot. After the show, send the same brief to every supplier you shortlisted, so the replies can be compared line by line. Our note on comparing two bag factory quotations helps afterwards.
ROOTSMEN will be at Cosmoprof Asia, booth 5G-K2C. We make fully custom cosmetic bags, wash bags, organisers and GWP pouches — there is no stock range — with our own factory in Zhaoqing, and we have worked with brands in Sweden, Japan, Taiwan and Southeast Asia. Bring the questions above; we will answer the ones a booth can answer and take the rest away as a written brief.
| Area | Question to ask | Evidence to request | Gap to note |
|---|---|---|---|
| Factory | Own factory or trading? Where is it sewn? | Site address on the audit report | Audit or certificate names a different site |
| Materials | Scope and transaction certificates for recycled fabric? | Mill scope certificate, sample TC | "Recycled" with no certificate |
| Standards | Ready for GRS 5.0 / RCS 3.0 and Calibration 300? | Audit version and date | No awareness of the 31 December 2026 change |
| Chemistry | PFHxA and finish testing per material? | Recent accredited lab reports | One report covering "the bag" |
| Construction | Zipper class, seam finish, construction choice? | Built samples, turned inside out | Catalogue only |
| Sampling | Pattern ownership, rounds before PPS? | Written development steps | Ownership left open |
| Inspection | AQL plan and defect classes? | Sample defect list | No written defect definitions |
| Commercial | What sets the minimum and the schedule? | Written quotation against the brief | A figure with no brief |
